Archive data comes in two forms, income data and client royalty statements from prior periods and both are made available directly in the application through this module. All processed data and statement copies are stored in the live database (without any negative impact on performance) so that you can retrieve them without having to resort to archived files or paper statements.

Pick up and embed any files in the database or choose to store them as links to another file repository. This allows you to carry on using any existing system alongside your new solution and read files between the two without having to launch a separate applications. All file types are supported and will be displayed in their original format picking up your preferences for file associations.

An application with large data volumes needs tools to make sure you can manage that data efficiently and we provide this to make changes to your copyright and royalty configuration across a wide range of songs according to criteria you set up. Catalog Shipment

One of the most powerful modules in the application, the catalog shipment functionality allows you to integrate with your sub-publishers and affiliates. All of your catalog data can be converted to a file and sent to them (and allow you to receive the data from them) so that all manual data entry can be avoided. With around 200 music publishers using a Counterpoint application sharing and importing data has never been simpler.

Common Works Registration

Register works electronically (via email etc.) and receive notifications in return the same way, detailing the status of those registrations. A single file generated using the CWR (Common Works Registration) format can be sent to multiple collection societies. The CWR v2 Module also enables you to build a database of agreement information which is re-used for all your registrations as well as running various inquiries.

In addition to our standard fields you can also expand the scope of your database using this module by creating new fields within the main areas of the system (e.g. Products, Contracts, etc.). You can then control the type of data that is attributed to each field and also publish that data so that it can be displayed, searched and included in reports as if it was one of our own standard fields.

With ever increasing statement volumes due to track based digital reporting you can take the green option by implementing this module to batch up all statements from any calculation routine in the system and create files to email to your royaltors rather than print paper statements. The emailing functionality will save you time and effort by allowing you to create a re-usable email template, while you can also now choose the format of the emailed statement, which can be sent as an Excel Spreadsheet, PDF, Text file, etc.

Foreign Currency Reporting

Turn your royalty system into a multi-currency calculation tool with this module. Royalties can be processed in any currency and then reported in a different currency to your royaltors. Add the heirs of a particular composer to allow them to collect royalties based upon a simple distribution of the royalties due to a deceased composer. Significant changes to the payment process are now easier than ever to make, without disrupting the audit trail in any way. The Heirs module is also extremely useful for administration deals involving complex flows of royalties, automating the whole process rather than having to manage the calculations manually in separate stages.

The module is designed to cover synchronization, print, permissions and mechanical licenses. The entire licensing process can follow a workflow that you design and then the data entered for the license can be exported to a template to create a copy of the license which will reduce manual effort and duplicate entry.

Monthly Royalty Runs
Service clients that want to receive monthly statements
You can add a monthly reporting schedule to the standard quarterly and half yearly options by enabling this module, all of the functionality of the standard runs is available for monthly processing including interim and final runs and there is even a multi-stage accrual process for songs with clients on different reporting schedules, whereby royalties are held for any clients that do not fall under the payment frequency of the royalty run being performed, until their own run is processed.

Productions & Cue Sheets
Book income by production and manage cue sheets
Track the income for your songs if they are used in productions by loading electronic royalty files and manually posted income allocated against the production or the episode. You can then produce statements displayed and grouped by those productions and episodes, and detailing the cue sheet information. Royalties for cues are automatically calculated from productions and episodes using the timing information provided by the system.

Rates Variation
Vary rates for different works for a client or for the same work at different times
Create rate models for clients if you need the system to be able to accommodate more complicated royalty scenarios. It allows you to handle changes in contracts, escalations, royalties paid in error, and much more. Rate Variations can be used whenever you have to pay royalties to clients whose shares vary from different works or over time for the same work. They are also useful when contract terms trigger rate escalations, for example on recoupment, the sale of a certain number of units of an album, or when an option is exercised.

Receipts Validation
Make sure the income you receive for licensed songs is correct
Don't just accept that the income reported to you is correct, with this module you can set up product information for your songs. When income is received from you can produce reports which will highlight any discrepancies between income and units received for songs on products that you have licensed, for example does the income received for songs on the same product match.

Song Pitching
Increase revenue by pitching songs to potential licensees
Create your own set of workflow tools to pitch new material to managers, record labels and film & TV music supervisors. Users will then be guided through the creation of an initial pitch, tracking of all activities and notes, through to the creation of a license. Contacts and addresses can be managed through a centralised address book, enabling individual songs or lists of songs to be emailed to selected recipients, including MP3 file attachments or links to online sound files.

Source of Income Grouping for Rates
Apply single royalty rates to multiple income sources
Using grouping for sources of income allows you identify any sources that have the same royalty rates and manage one rate for all. An example of a source group would be 'GAS' (Germany, Austria and Switzerland). You can set up a single set of royalty rates for income received in these territories only. This allows the user to manage royalty rates for a number of sources with maximum efficiency and speed.

Sub-Coded Songs
Add a new dimension to song codes to manage complex splits
All songs are created with a main code and that will support the majority of the royalty calculations in your system however for more complex royalty processing scenarios (like a song having two writers, each affiliated to a different society) sub-coded songs can be enabled. This functionality will allow sub-codes to be used rather than having to set up duplicate records to manage the different terms for a single song.

All changes to the database can be tracked to generate an audit trail that meets any internal system auditing requirements your database must adhere to. Controls are available for every table in the database and any additions, deletions and amendments are then stored in a separate logging table and then made available through our own reporting or published to allow you to design your own reports.

Using this module you can automate the creation of completed PDF documents from data already set up in the system which can then be sent to the US Copyright Office. This module currently supports the CA, PA and RE forms.

Provide on line access to statements and data to your royaltors
The next generation of statement production and distribution will allow your royaltors to log on to a secure website and access their statements and view the supporting financial data via your own version of on line banking. The module comes with full administrative control which allows you to create user accounts and then replicate the data you would like to make available to those users from your live system. It's a safe way of providing added value to your clients without incurring expensive outsourcing fees.

Create your own interfaces with third party systems
You can now manage your own interfaces between our database and any other systems that you want to run in parallel. We have created import types that will provide you with the list of fields that you'll need to include in any source file for any data you want to load automatically into the system. Also available are export views that will publish any information from the database that you may want to share with another database or load into a general ledger. This module is not file format specific and can talk directly to other databases, it is designed for users of the application as well as people with systems integration experience.

Maestro Report Writer
Design and distribute your own reports
Writing your own reports is a key requirement of any database and our system comes fully documented with a published catalogue that users can work with without any prior custom report writing experience. Your database contains your data and our report writing tool will present that data back to the users without relying on table and field names that are difficult to understand. Once you've created your reports you can publish and distribute them to other users or keep your own private suite.
