Event Queue

Category: Licensing

The Event Queue module is a contract approvals tracking module that follows a contract through all of the various approvals from Deal Memo creation to the end of the contract. You will be able to monitor the progress of contract setup, approval, execution and completion through the various departments of your company. The Event Queue allows a manager to know who has the contract and when each phase of the contract has been completed, ensuring all phases have been completed in a timely manner.

Each step in the Event Queue is assigned to a specific person for approval. This person is reminded by email of the awaiting event, as well as each time they log into the system. Each event also carries with it a specific number of days until it is late, upon which the E-mail server module can then notify the person they are late. Some events may also automatically change the contract status upon their approval. Multiple departments from Legal, to Accounting, can be involved in signing off on their portions of the contract setup process.

A sample Event Queue could contain the following Events:

Deal Memo

Credit Approval

Legal Drafting

Executive Approval

Accounting Review

To Licensee for Signature

Received Back from Licensee

To Management for Signature

Full Execution

Invoices sent/approved

Contracts Distributed

Contracts Filed

Queue closed

Event Queues can also be assigned to contracts to track the process of Amendments and Renewals. Stages in the Queue can be deleted or duplicated if necessary. Different Event Queues can be set up for different Contract Types and either Domestic or International contracts if needed. As the Events are approved and email reminder is sent to the next person notifying them that the event is now in their court. By using the Email server, additional reminders can be sent when the Event becomes overdue in its approval process. During the Approval process, an event can be approved, sent back, or unapproved.
